Your company alreadyruns on repeat. We make it run itself.

We build the operations layer for small and mid-size companies — quotations, books, client conversations, reporting, and the agents that keep all of it moving. Shaped around how your team already works.

01 — ScopeFour layers

Most companies don't need more software. They need the software they pay for to talk to each other.

And the repeated human steps in between taken off the table. That is the whole job. We start by finding where the day actually goes, then build only what removes it.

Operations automation

The paperwork spine of the company: enquiry to quotation to job to invoice to books — running on rules your team sets, with a human approving only where judgement genuinely belongs.

  • aRate-card quotation engines with margin and discount rules
  • bApproval chains with escalation and a real audit trail
  • cPurchase, delivery and invoice flows that reconcile themselves
  • dBooks kept current and filing-ready, not rebuilt each quarter

Agents that answer

They sit on the channels your clients already use, reply in your company's voice, qualify the enquiry, and leave a structured record in your system instead of a screenshot in somebody's chat.

  • aWhatsApp, email and web agents with clean handover to a human
  • bInternal copilots trained on your drawings, SOPs and past quotes
  • cVoice and call intake transcribed straight into the CRM
  • dGuardrails, logging and a review queue — never a black box

Data that agrees with itself

Your numbers live in six places and match in none of them. We wire the systems together, pick one source of truth per number, and put a view on top that an owner can read in thirty seconds.

  • aCRM, accounting, spreadsheets, ERP and gateways in sync
  • bReports that arrive before the meeting, not after it
  • cDocument and drawing OCR into searchable structured data
  • dAlerts when a number moves in a way it should not
Plate iiiFive sources · one truth

Software built to fit

When nothing off the shelf bends far enough: a client portal, a field app for the team on site, an internal tool that finally replaces the spreadsheet everyone is afraid to touch.

  • aClient portals for orders, status and documents
  • bMobile-first field apps that survive a weak signal
  • cRoles, permissions and an audit log that stands up later
  • dDeployed on your accounts, handed over with documentation

02 — Principle

A business is a machine whether or not anyone drew it.

Most of them run on memory, habit and one person who knows how the quotation really gets priced. We draw the machine first, show it to you, and only then decide which parts should turn by themselves.

03 — MethodFour phases

We measure before we build, and we write down what we are not automating.

That second document is the one that keeps a project from turning into a year of scope. The order below does not change.

Teardown

2–5 days · on site

We sit with the people doing the work and follow one job end to end. Every repeated step gets written down and timed — who touches it, what they retype, where it waits. A fair amount of what we find is not a software problem, and we say so.

Blueprint

One week · fixed fee

A written specification: what gets automated, what stays human and why, which systems connect, what it costs and in what order it ships. You can take this document to another builder — that is deliberately the point of it.

Build

2–6 weeks · in slices

Shipped in slices, smallest useful thing first. Your team is using something real in week one and telling us where it is wrong while it is still cheap to change. Nothing goes live without a way to switch it off.

Handover

Ongoing · optional

Documentation, a recorded walkthrough per role, and credentials in your name. After that you either run it yourself or keep us on a retainer to watch the runs, fix breakages and add the next slice.

An illustrative flow, not a client case study. Your real timings come out of the teardown in phase 01.

05 — Engagement

Three ways to start. All of them reversible.

No annual lock-in and no seat licences from our side. You pay for a diagnostic, a build, or a month of us keeping it running — and you can stop at the end of any one with everything in your hands.

Teardown sprint

Start here
  • Two to five days inside your operation
  • Every repeated step mapped and timed
  • A blueprint you own, builder-agnostic
  • An honest list of what not to automate
Fixed fee · quoted after a 20-minute call

Build engagement

Most common
  • Scoped from the blueprint, billed per milestone
  • Weekly release your team actually uses
  • Deployed to your own cloud and accounts
  • Documentation and training at handover
Per phase · scope fixed before work starts

Operating retainer

After go-live
  • Runs monitored, failures caught before you hear
  • A block of hours each month for changes
  • New slices added as the business shifts
  • Month to month, cancel at the end of any one
Monthly · cancel any month

If your team already lives in a tool, the build goes around it rather than asking forty people to change habits in week one.

07 — Straight answers

The questions owners actually ask.

iDo we have to change the software we already use?+

Usually not. Most of the work is making existing systems hand off to each other cleanly. We only recommend replacing a tool when it is genuinely blocking the flow, and we tell you what the switch costs in hours before you decide.

iiWho owns the code and the data?+

You do. Everything is built into accounts in your company's name, source included, and the handover package has the credentials, the repository and a written runbook. There is no hosting lock-in from our side.

iiiWhat happens to our data when AI is involved?+

It is scoped in writing before anything runs: what leaves your systems, which model provider sees it, what is retained and for how long. Where the data is sensitive we keep processing local or redact before the call. You approve the data flow as part of the blueprint.

ivWhat if a flow breaks at nine at night?+

Every flow has monitoring, a retry policy and a manual fallback, so a failure degrades into the old manual step rather than losing the work. On a retainer we are alerted before you are; without one, the runbook tells your team exactly what to do.

vWe are ten people. Are we too small for this?+

Ten is the size where it pays back fastest, because the same two or three people are doing all of the repeated work. The build is smaller and the teardown is shorter — the method does not change.

08 — Start

Tell us what is eating your week.

Twenty minutes is usually enough for us to say whether it is worth automating, roughly what it would take, and whether you need us at all.
